Webinar Software Pricing Compared 2026: Cost for 500 Attendees

Webinar software for 500 live attendees costs $66.67 to $195 a month on verified dollar prices. Zoom, WebinarJam and Crowdcast compared, checked 10 October 2026.

Webinar Software Pricing Compared 2026: Cost for 500 Attendees

Short answer: For one host running one webinar a month with 500 live attendees, Zoom Webinars is the cheapest plan with a dollar price we could verify: $89 a month billed monthly, or $66.67 a month billed annually ($800.04 a year). WebinarJam's Basic plan is next at $99 a month, or $79 billed annually. Both figures come from the vendors' own pricing pages, checked 10 October 2026.

Most webinar software does not sell one flat price for 500 people. Some vendors charge for each live attendee, some charge per host, and some publish their 500-attendee price only in euros or behind a quote form. This page compares only the plans whose dollar price we could confirm on the vendor's own page, and it lists the rest with the reason they stay out of the ranking.

Toolradar data: Toolradar, the software directory we run, evaluated 37 webinar tools for its October 2026 ranking, with GoTo Meeting first and Zoom second. That ranking judges the products, not what a given audience size costs. The Toolradar webinar ranking sits next to the profiles for Zoom Webinars, WebinarJam, Crowdcast and Livestorm.

The scenario behind every number

Each price assumes one host, one live webinar a month and 500 people attending live, billed for 12 months. Only live attendees count. Crowdcast, the only per-attendee vendor priced here, lets registrants in without limit and bills only live attendance. All figures are USD before tax. Where a plan lists "500 attendees", we use that as written. Where a plan lists a tier such as "100+ live attendees", we read that number as the attendance its price includes.

The cost at 500 attendees

Plan Per month, billed monthly Per month, billed annually Per year, monthly billing Per year, annual billing What the price covers
Zoom Webinars $89/mo $66.67/mo $1,068 $800.04 Up to 500 attendees per host, with chat, polls, Q&A and AI chapters on recordings
WebinarJam Basic $99/mo $79/mo $1,188 $948 500 attendees, with no per-attendee fee listed
Zoom Webinars Plus $99/mo $82.50/mo $1,188 $990 Adds pre-recorded sessions run as live, a backstage room and multiple layouts
Crowdcast Lite $109/mo Not printed $1,308 Not printed 100 live attendees included, then 15 cents for each extra live attendee
Crowdcast Pro $126.50/mo Not printed $1,518 Not printed 250 live attendees included, then 15 cents for each extra live attendee
Zoom Events $149/mo $124.17/mo $1,788 $1,490.04 Up to 500 attendees per host, plus multiple stages, ticket types, a lobby and networking
Crowdcast Business $195/mo Not printed $2,340 Not printed 1,000 live attendees included, so no overage at 500

Crowdcast's monthly cost at 500 live attendees is the plan price plus overage. Lite is its $49 plus 400 extra attendees at $0.15, which comes to $109. Pro is its plan price plus 250 extra at $0.15, which comes to $126.50.

Reading the table. Billed monthly, Zoom Webinars is the lowest at $1,068 a year. WebinarJam Basic and Zoom Webinars Plus tie at $1,188. Billed annually, the three lowest are Zoom Webinars ($800.04), WebinarJam Basic ($948) and Zoom Webinars Plus ($990). Zoom's annual billing saves $267.96 a year against its monthly rate. Crowdcast cannot be ranked on an annual basis, because it prints no annual price.

Crowdcast's plan order. Crowdcast Lite stays $17.50 cheaper than Crowdcast Pro at every attendance above 250, so Pro is never the cheaper Crowdcast plan. Business never beats Lite up to its 1,000-attendee allowance, because Lite stays under Business's $195 flat fee across that range. We have no verified overage rate for Business, so the comparison stops at 1,000. Zoom's pricing page prices only the 500-attendee tier, so a larger room needs a quote.

Zoom Webinars: priced per host

Zoom charges per user per month, so each host needs a license. A second host doubles the bill to $178 a month billed monthly, or $133.34 a month billed annually. The Webinars plan covers hosting, engagement tools (chat, reactions, polls and Q&A), custom backgrounds, AI-generated chapters on recordings, and performance reports that export to marketing tools. Plus costs $10 a month more and adds pre-recorded sessions that run as live, a private backstage room for speakers, multiple production layouts and expanded analytics. Events adds multiple stages, ticket types, a lobby and networking. Zoom also sells Professional Event Services, but the page prints no price for it, so it stays out of the totals.

WebinarJam Basic: a flat room

WebinarJam's Basic plan holds 500 attendees. Billed annually at $79 a month instead of $99, it saves $240 a year, according to the page. The page lists no per-attendee fee. Its FAQ says all sessions can be recorded, with replays sent automatically. The paid plans also include custom backgrounds and fully customizable pages. WebinarJam publishes no recording limit for each tier, so confirm replay storage before you rely on it. WebinarJam shows dollar signs without naming the currency, and we read them as US dollars.

Crowdcast: pay for the people who show up

Crowdcast lets unlimited people register and charges only for live attendance. Lite costs $49 a month with 100 live attendees included, Pro costs $89 with 250 included, and Business costs $195 with 1,000 included. Lite and Pro charge 15 cents for each live attendee above their allowance. At 500 live attendees, Lite runs $109 a month and Pro runs $126.50. Because Crowdcast's cost rises with the room, an 800-attendee webinar costs $49 + 700 × $0.15 = $154 a month on Lite, while Business keeps its flat rate for up to 1,000 attendees.

Vendors we could not price in dollars at 500 attendees

These vendors stay out of the ranking. Each line gives the price the vendor shows and the reason it cannot be compared.

  • Livestorm: Pro charges €2.50 per unique attendee credit and caps rooms at 3,000 attendees, but its pages show euros only, and Enterprise is quote-only. We did not convert euros.
  • GoTo Webinar: Reach holds up to 500 participants, but its pricing page shows no dollar amount beside the monthly or annual price.
  • Demio: Starter is $63 a month, or $45 billed annually, but it holds 50 attendees. Growth and Premium list room sizes from 150 to 3,000 without a dollar figure for the 500 room, and the $196 Premium figure is not tied to a room size.
  • Riverside: Its Webinar plan caps registrants at 100, and its annual figures conflict on the page, so we quote no price.
  • EverWebinar: $199 a month, $99 a month billed annually or $79 a month on a two-year term. The page states no attendee limit.
  • ClickMeeting: Its Live and Automated plans list attendee tiers up to 500, but those plans show a euro sign with no amount.
  • BigMarker: Basic holds up to 1,000 live attendees, but its plans show a request-a-quote button in place of a price.
  • StreamYard: Advanced lists $88.99 and $68.99 a month, but its on-air webinars cap at 100 viewers.
  • Airmeet: Premium Webinars starts at $199 a month, with a yearly rate of $167 a month beside it, and attendee tiers from 100 to 10,000. The page states no price for 500 attendees.

Costs the pricing pages leave out

  • Per-attendee charges. Crowdcast's Lite and Pro bill 15 cents for each live attendee above their allowances. Livestorm bills a credit for each unique attendee, priced in euros.
  • Per-host licenses. Zoom Webinars is priced per user, so every presenter or co-host who needs a license adds the full monthly price. Demio's Starter is capped at one host, and its page prints no price for adding hosts.
  • Ticket fees. BigMarker takes a 5% transaction fee on paid events, on top of its plan price.
  • Event services. Zoom's Professional Event Services and Demio's concierge onboarding both have no printed price.
  • Separate tools. If your registration pages live in a landing-page builder, that cost sits outside every price here. Compare options in the best landing page builders list.

How to estimate your own bill

Start with the plan price and multiply by 12 for the year. For per-attendee plans, add the live attendees above the included count, times the overage rate, every month. For per-host plans, multiply the price by the number of hosts. Example: Crowdcast Lite with 700 live attendees costs $49 + (700 − 100) × $0.15 = $139 a month, or $1,668 a year on monthly billing.

Frequently asked questions

What does webinar software cost for 500 attendees?

Among the vendors whose dollar prices we verified, Zoom Webinars billed annually is the lowest option and Crowdcast Business billed monthly is the highest. The mid-range options are WebinarJam Basic and Zoom Webinars Plus, both at $1,188 a year on monthly billing. Crowdcast Lite costs $109 a month once its overage for 400 extra live attendees is added.

What is the cheapest webinar software for 500 attendees?

Zoom Webinars, for one host, at $66.67 a month billed annually ($800.04 a year) or $89 a month billed monthly ($1,068 a year). Vendors that show no dollar price at that size, such as GoTo Webinar and BigMarker, are not in this comparison, so it is not a claim about the whole market.

Is there free webinar software for 500 attendees?

None of the vendors priced here has a free plan that we could confirm at 500 live attendees. Demio's cheapest plan holds 50 attendees, and Riverside's Webinar plan caps registrants at 100.

Does Zoom Webinars charge per host?

Yes. Zoom prices Webinars per user per month, so each host needs a license. Two hosts cost $178 a month billed monthly, or $133.34 a month billed annually.

What does Crowdcast charge above its attendee limit?

Lite and Pro charge 15 cents for each live attendee above their included count, on top of the plan price. Registrants are unlimited, and only live attendees count. At 500 live attendees, Crowdcast Lite costs $109 a month and Pro costs $126.50 a month.

How much do annual plans save?

Zoom Webinars saves $267.96 a year, from $1,068 to $800.04. WebinarJam Basic saves $240 a year, from $1,188 to $948. Crowdcast prints no annual price, so its saving cannot be computed.

Why are some well-known vendors missing from the ranking?

Some print prices in euros (Livestorm) or show a euro sign with no amount (ClickMeeting). Others show no dollar figure at 500 attendees (GoTo Webinar, Demio's larger plans, Airmeet), offer a quote instead of a price (BigMarker), or cap rooms or registrants below 500 (Demio's Starter, Riverside, StreamYard). We left them out of the ranking rather than estimate their totals.

How we verified this

Every price above was read on the vendor's own pricing page on 10 October 2026: Zoom Webinars, WebinarJam and Crowdcast. Zoom's attendee wording comes from Zoom's Webinars page. The unpriced vendors were checked on their own pages too: Livestorm, GoTo Webinar, Demio, Riverside, EverWebinar, ClickMeeting, BigMarker, StreamYard and Airmeet. The totals are our arithmetic on those prices for the scenario above, before tax. WebinarJam and Crowdcast show dollar signs without naming the currency, and we read them as US dollars. The Toolradar figures (37 webinar tools, GoTo Meeting first, Zoom second) come from the Toolradar webinar ranking, updated October 2026. Recheck each vendor page before you buy, since prices and tiers change.
